Summary

OneTrust has released its latest version (202212.1.0), which has provided new features to our solution for you to review and test. We have provided a list of new features that have been added along with the respective modules.

New Features

Consent Management

• Open Web Form Button

  Integrate an Open web form button on your website to provide users with access to the OneTrust Embedded Web Form. This code can be copied from the Integrations tab of a OneTrust Embedded Web Form Collection Point and can be placed wherever you want users to open the web form on your website.

• Submit Button Hover Feedback

  Hover feedback is now available for the Submit button in OneTrust Embedded Web Form Collection Points. With this enhancement, the cursor now changes into a hand icon when hovering over the Submit button to help you identify that the button can be clicked.

• Country Code Data Elements

  Country Code type data elements will now be automatically added to a data subject profile when collecting Country type data elements for a data subject. This enhancement ensures that language-agnostic data within the Country type data element can be used to provide the necessary translations for the data subject.

DataDiscovery

• Test Data Source Connections

  Validate the connection status of your data source on the Summary tab in the Data Source Details screen. This feature allows users to test the connection between the data source and OneTrust and investigate the event logs in case of failed or invalid connections.

• City Classifier Enhancement

  Added additional contextual to the City classifier to improve confidence score results and reduce false positives.

• State Classifier Enhancement

  Added additional contextual keywords for abbreviated forms of states and added inhabited territories to the dictionary to improve confidence score results and reduce false positives.

Data Mapping

• Download All Attachments

  Download all files attached to an inventory record by clicking the Download All button on the Documents tab of the Inventory Details screen. This allows you to download every attachment associated with an inventory at once.

Data Redaction

• Set Attachment Viewing Order for Data Subjects

  Set the viewing order of attachments when sharing redaction results with data subjects. This filtering enhancement in the Share Results with Data Subject modal allows you to change the ascending order of attachments according to the following values:

  • Data Modified (default)
  • Source
  • Attachment Name
  • Status

Enterprise Policy Management

• Improved Email Templates

  Set the viewing order of attachments when sharing redaction results with data subjects. This filtering enhancement in the Share Results with Data Subject modal allows you to change the ascending order of attachments according to the following values:

  • Disclosure Information Request Response (Respondents and Approvers)
  • Disclosure Information Request Added (Respondents only)
  • Disclosure Information Request Closed (Respondents only)
  • Disclosure Information Request Reopened (Respondents only)

ESG Program Management

• Define Reporting Periods

  Configure reporting periods to report on metric data over a defined time period. Leverage reporting start dates and reporting periods to disclose key trends to your stakeholders. Reporting periods—whether annual, biannual, quarterly, or monthly—can be defined to align with your business needs.

• New ESG Program Reporting & Disclosures Dashboard

  View out-of-the-box KPIs in real time and showcase your ESG program's progress to stakeholders using the new ESG Program Reporting & Disclosures Dashboard on the Dashboard tab on the ESG Program Reporting & Disclosures menu. This new dashboard offers the following:

  • Real-time visualizations of progress on metric data collection.
  • Filtering based on organization / location and reporting period.
  • Metric data and initiative overviews broken down by category.
  • Readily available Reports Appendix exports for any standard / framework based on reporting period.

Integrations

• Masking of Access, Refresh, and Bearer Tokens

  OneTrust now masks Access, Refresh and Bearer tokens in the application for improved security. Once the values are generated and saved, they cannot be retrieved from the interface.

PIA & Automation

• Skip Stages in Approval Workflows

  Skip review stages manually and move assessments to Completed from any review stage. This feature allows users to override the approval workflow for an assessment and move the assessment to any specified stage.

• Skip Stages Based on Responses

  Configure assessment template rules to skip approval stages based on question responses. This feature allows users to automatically skip approval stages when assessment responses meet specified criteria.

Third-Party Management

• New Workflow Assignee Types

  Add engagement and vendor user-type attributes as the assignee when creating an engagement workflow rule to create a new task. With this enhancement, users can assign the task to a contextual user associated with the engagement or vendor by choosing a user-type attribute.

• Formula Score Attribute Enhancement

  Create vendor level formulas using related engagement attributes when configuring the Formula Score attribute of a vendor in the Attribute Manager. This enhancement allows users to configure an attribute formula at the vendor level to perform calculations based on related engagement attributes.
